Overview

The City Clerk's office serves as an important resource for the Lawndale community, other governmental agencies, and the City itself when information about official City business, past and present, is sought. Because of its expertise in records management, the department has become a model for other departments as information technology advances are increasingly utilized to streamline processes and procedures. In addition to preparing meeting agendas, minutes, and legislative documents for the City Council, Lawndale Redevelopment Agency, Lawndale Cable Usage Corporation and Lawndale Housing Authority, the staff assures that posting and publication requirements are met in accordance with local, state and federal laws.
The department also administers City elections, held in April of each even-numbered year, and provides support to Los Angeles County for all other local, state and national elections. City elective offices are as follows: Mayor (2 year term), four Members of the City Council (4 year terms, staggered), and City Clerk (4 year term). Municipal election responsibilities include recruiting election officers who provide assistance at the polls and at the official central counting place; conducting the canvass of the election to ensure that every valid vote is counted and the official results are accurate; preparing public notices and legislative documents; assisting candidates with regard to legal requirements and restrictions related to campaigning; and preparing or acquiring voter pamphlets, informational materials, ballots, and a wide range of precinct supplies

Other departmental duties include:

  • Assisting the City's volunteer historian in compiling information and artifacts from the city's past
  • Recruiting for City Council appointed commissions and committees
  • Advising City departments regarding laws pertaining to open meetings and public records as they relate to  departmental administrative functions and commission and committee activities
  • Performing filing official duties as required by state conflict of interest laws
  • Acting as filing officer for campaign finance disclosures, as required by state laws
  • Preparing certificates, proclamations and plaques and scheduling presentations by the City Council
  • Administering oaths
  • Receiving service of subpoenas and claims against the City
  • Providing support to other departments with competitive bidding processes
